Document Compare
Provides the ability to compare two documents and present the changes in a consolidated document. Is particularly useful for quickly viewing the changes made in a policy document or lengthy contract.
Folder Filtering
Folder View filtering provides administrators the ability to define default filters to determine what a user sees when they first open a folder view. For example, when a folder opens, a filter can automatically show only documents,etc relevant to that user's department or job title. Filtering does not impact security. By clearing a filter the user will be able to see all of the documents they are entitled to view within a folder. Read more details here
Strict Version Control
With V3, DOCOVA’s version control is much broader in context. Version Control now runs the gambit, from Strict versioning for records compliance to non-restrictive, free versioning for collaboration purposes. Documents within DOCOVA can be personalized with the version controls required for the process or situation. Read more here.
Related Documents
One of the shortcomings with most document management ECM solutions is the ability to cross link documents either manually or automatically. DOCOVA now supports this out of the box and additionally provides a related links section to bring in other content like website URL’s.
Print Restriction Controls
This enhancement provides the option to prevent a document from being printed.
Multi-Server and Off-Line use
DOCOVA has improved the management of a multi-server environment. In addition, users can use DOCOVA in an off-line mode.
Keywords Configuration Database
New functionality has been added to have a central keyword database that is accessible via the DOCOVA interface. This gives easy update of keywords (for drop down lists) without the need to go in to the design of the application.

February 15, 2011 - DLI.tools Inc., a leader in web-based Document and Content Management solutions, has announced Carnival UK, a subsidiary of Carnival Corporation & PLC and the operator of P&O Cruises and Cunard Line, has selected DOCOVA® ECM for their business-critical Documents and Processes.
Carnival UK will initially deploy DOCOVA to manage their fleet business-critical Ship Safety Management System (SSMS). With Carnival UK strictly regulated for passenger transit and safety, DOCOVA will need to meet strong compliance requirements for managing documents and processes from ship to shore.
"The usual suppliers of ECM solutions could not meet our challenging requirements. Docova Announcement: Project TEITR at Lotusphere

ORLANDO, FL – 31 Jan 2011: DLI.tools Inc., a leader in web-based Document and Content Management, will discuss Project ‘TEITR’ (pronounced ‘tighter’) at Lotusphere 2011, IBM's annual collaboration and social business event.
Project TEITR is the codename for a new DLI.tools initiative, centered around its DOCOVA ECM platform, a leading Document and Content Management platform for IBM Lotus Domino. DLI.tools will discuss a new architecture vision for supporting multiple technology platforms on the backend. DLI.tools will preview components of TEITR, including a vision of co-existence between Lotus Domino and Microsoft SQL Server.

Docova 2.6.3 Released
August 24, 2010 by Gary WalshJust a quick note to let you know that we have released Docova Ver 2.6.3. This is a maintenance release but also includes two exciting new features in Docova Explorer (DOE). The ability to "create new documents" and "edit after create".
The former has significant performance benefits as documents can be quickly created and stored in Docova from DOE without the need to load the Docova web based user interface. The new document loads very quickly in its own window, with full field validation and workflow controls. The latter allows users who drag and drop emails and edit the document immediately afterwards to add meta data. Again this can be done without having to go into Docova via the browser.
The software is available as a download from the Docova Support Site.

Docova Migration Module for DDM Released

The module becomes the first DDM migration toolkit to be independently tested and validated against the IIUI DDM Migrator application. With this validated module, DOCOVA strengthens its position as a leading DDM migration path for Lotus Domino-based solutions.
The DOCOVA Migration Module migrates content from the IIUI DDM Migrator into DOCOVA Document Manager. Additionally, DOCOVA can accommodate porting additional functionality that companies have custom built into their DDM solutions. This helps companies leverage their DDM investment and existing skill sets.

IBM Lotus Domino Document Manager to Docova Gaining Momentum
June 30, 2010 by Scott TomlinsonThe Domino.doc to Docova migration path is definitely picking up momentum. There's a significant increase in the initial customer discussions focused on the migration topic, often with customers approaching us first.
New customers to Docova are on the rise as well, as we've signed two more Domino.doc-to-Docova migration deals just in the last two weeks.
The two migrations will leverage the no-charge Docova Migrator Toolkit and the IBM Domino Document Manager Migrator tool. The migrations are scheduled for completion in July 2010 with the aid of the Docova Business Partner Community.

UK Tour
May 1, 2010 by Gary WalshIts been quite a week. Something like 9 Docova demos in 5 days. Sitting at Heathrow waiting for my gate to be announced so I will compose a blog entry. Here is a bit of a synopsys of the week past:
April 24
Volcanic ash clouds have cleared up...so I am at the airport about to depart for Heathrow...the hub from hell. Flight leaves at 11:30 PM out of Toronto. This was my best flight to the UK to date as I slept pretty much the whole way.
April 25
Andy met me at the airport. He is the business partner who saw Docova and immediately booked a weeks worth of appointments with propective customers. He picked me up outside Terminal 3 and in about 40 minutes I was in Godalming, a nice historic village outside of London. The challenge now is to stay awake. Sleeping this early in the day just makes the jet lag worse. Went to a pub up the street called the Anchor, recently under new mgt. Inn keeper is a 64 old former chef. Turns out he is a regular on a TV cooking series and at one time was known as Great Britain's greatest chef. Yes...the food was good.
April 26
Docova training starting at 10 am for the partner. Basically doing an intro for the sales team in the morning and the technical team in the afternoon. That pretty much consumed the entire day. Had lunch eating a sandwhich with Andy in an old cemetary that dates back something like 800 years. Sent the evening at the Pub playing bar billiards. Cool game. People are very friendly, and thanks to a mispent youth playing pool I was able to hold my own.
April 27
Off to Gatwick the next morning...catching a plane to Edinburgh for our first appointment on Wednesday. Flights in the UK are cheap... 30 ish pounds. Double that for the taxes but in Canada that would not get you past security for any Canadian destination. Andy is running a Mac Powerbook. Got to admit, this thing is impressive. He runs several virtual machines for the Windows environment. Works well...and fast.
April 28
Off to the client site first thing in the morning. Demo is to a customer that supplies interrior displays to hotels, retail, almost any organization that needs them. They have a Notes application that is based on the mail template. It has become a bit of a bear to maintain.
We demonstrated Docova, and the drag and drop capability will turn a long process into one that only takes a few mintues....virtually eliminating the admin required. Customer has 600 users and looks like they want to get going soon. Docova supports Notes 6- 8.5...so they do not have to upgrade their older R6 environment. Welcome news as they let the M&S slide. Then again the DAOS in R 8.5 may push them that way. That will consolidate any attachments, saving storage space and making the system more efficient. We also support a distributed server model and since they have several Domino servers this bodes well.
In the car and off to our second meeting with a window manufacturer in the afternoon. Andy is doing a demo for Notes Pump, to help them with their 8.5 upgrade. Docova came in on the tail end. The demo went well. Nice when the customer has web development skills, as they can appreciate the speed of delivery Docova offers for Web applications.
Bit of a run to the airport, and a short 30 minute flight over to Belfast in a twin turboprop. Grab another rental call then off to the hotel in Carricfurgen, up the coast from Belfast. This is our second Ford Focus rental in a row. Like driving in a tin can. The car is a standard transmission, as all rentals are in this part of the UK, and it was freaky for me to have the stick in the right place but no steering wheel or peddles.
April 29
Up early again. Off to a meeting with a DomDoc customer in Northern Ireland. Stopped at a place called Burnt Island and had Black Pudding at a small cafe. Hard to believe this is an English dish and people order it for breakfast. Gound pig intestines, formed in a patty and served warm with a laryer of skin holding the shape. Yikes!
Had a group of five for the demo, including the Document Control Manager. They love DomDoc for its functionality and affordability. This is a power generating station, and process and control is the name of the game. We alsmost got an applause at the end. DomDoc is functional, but Docova is even more so and the UI is a breath of fresh air. The dream of the Doc Control person was easy to demonstrate, something they have been striving for with DomDoc but not quite able to pull off. It requires integration with MS Word, and the pushing of info from Docova to bookmarks. Easy task for thingFactory, one of the web toolkits used to create Docova.
Back in the car and a mad rush cross country to meet another partner in Antrim near Belfast. We have a demo an hour and a half drive to the east with two councils, the equivalent of municipal gov'ts back in Canada. Andy is heading south to do a demo of his own. My demo went well, although the council's are at an early stage and do not have solid grasp of their requirements yet. Bit of a fight through construction afterwards but Geoff got me back to the airport in Belfast in time for the 7 PM flight to Gatwick. Could not meet up with Paul Mooney, as there was simply no time. Paul lives in Belfast and I had indicated I may give him a ring on the way through.
April 30
Working out of the partner offices today. Basically trying to get all of the quotes done. Two more web demos, one to a Federal Reserve in the USA that learned about Docova following a meeting with the IBM team and a local business partner. Meeting setup for Monday and Docova looks to be the missing link for their DomDoc migration. Another demo in the afternoon for a food services company in Ireland. This time over a web meeting. Project Mgt, Quality control...all things we have done before. Partner is teeing up a followup meeting with senior mgt as we passed the audition with flying colors.
Andy showed me his Mac Time Machine. Wireless 1.5 TB device that backs up his machine every week. He can go back to any of the images at any time. Graphics are stellar. Thats it, I am sold. Goodbye stinkpad.
Out to dinner with Andy and the major sharholder. Dined in an old church, that was converted to an auction house then to a restaurant. Expected a bold of lightning to come through the roof at any time. Talked about the state of the Notes world. Agreed it is decaying, but that being the big fish in a small pond has some solid business logic.
May 1
Had the morning to kill before taking the train/bus to Hearthrow. Wandered Goldalming. Place is so quaint it is almost too much. Small cobbled streats, old buildings and lots of history. This is where the telegraph operator from the Titantic grew up. Went back to the old church and watched the lawn bowling while I strummed my guitar. Sitting in a cemetary...wish I knew some Greatful Dead tunes. Then wandered to the Red Lion in. Will miss the open mike session as I have to hit the road. Very cool pub. Going to have to come back here.
Train and a bus ride takes me to now...sitting in Heathrow waiting for the gate to be announced. Daughter and her boyfriend will be picking me up at the airport Toronto. Another reminder how time marches on.

March 23, 2010 by Gary WalshWorking with our partner in the Netherlands, Silverside, we are pleased to announce that Docova has been chosen as the document management platform by Vresestein, one of the largest manufacturers of tires overseas.
Although Vredestein is a Microsoft shop and had no Domino infrastructure, they implemented Lotus Domino Document Manager due to the overall functionality and affordability. After two years and heavy customizing, and before it could be fully deployed, Lotus released the LDDM end of life statement.
At this point the floor was open, and over a two month period Vredestein evaluated Sharepoint, Alfresco, Filenet and our own Docova. Given the history, a Domino solution was definitely not the preferred solution. In fact, the level of frustration was so high that the General Manager favored cancelling the project entirely.
" We compared Filenet, Alfresco and Docova and the best fit for us is definitely Docova. Docova is a very powerfull document management solution with unique features", Project Manager Patrick Goossens, Apollo Vredestein.
This was not an easy sale for Silverside. In order to win Docova had to work in the customer's environment. That meant integration to MS Outlook 2000, Exchange, Office 2000-2007, Windows 2000 - Windows 7 and Terminal server.

DLI.tools celebrates 200,000+ user count
March 12, 2010 by Gary Walsh A customer asked us recently how many installed seats of our software there were worldwide. Usually we respond with the number of customers, not the number of users. So we got to thinking...and wow!!
With a conservative guess as to number of users per organization...and considering the number of customers who integrate our products into theirs...we easily came up with a number well over 200,000. That is reason to celebrate.

Uploader Update Released

I just posted a beta release of our new Docova Explorer and Web components to the Docova Support instance. This version allows you to create folders on the fly, when you drag and drop emails...even if you do not have Docova open in the browser. (see the flash video links at the bottom of this email if you have not seen them).
Not knew you may be saying...
What is new and exciting is the additional work we have done to support Microsoft products. All of the email integration features (mail acquire, import messages, embedded emails, .....) now work with Outlook/Exchange. That includes the drag and drop of emails and folder creation on the fly, which was missing from our prior release that supported Outlook. Several Docova customers do not have Notes for email...so this will be of interest.
Our plan is to package this as an Outlook/Exchange connector as there is a dll and some additional setup required for some fo the features. Additional connectors are pending as well.
Also included....
- Deeper integration with MS Outlook and Exchange...Docova is now available off the MS Office Menus (including Office 2000..as per many requests)
- Works in Terminal Services environment
- Right click folder creation when saving from MS Office applications
- Check-in sensitivity dialog in MS Office, that is, when saving to Docova, senses if the particular file is already checked out and provides users with a dialog to save and check-in or save and keep-checked-out.
Docova Explorer and Docova Web Components have been tested in the following environments using both session and basic authentication methods.

Docova 2.6 Release
August 28, 2009 by Gary WalshJust a quick Note about our new release. It has lots of useful functionality, driven by customer feedback over the past year. Here is a brief summary. The release Notes will be posted very soon.
From your Notes email you can select a smarticon and access the library and folder structure. Clicking on documents and attachments imports them into the body of the email. You have the option to PDF these, and even create a searchable PDF. This allows you to email the actual container document, rather than just the attachment.
Some financial applications require the ability to provide customers with their information on portable media. With 2.6 you can export documents in batch mode to the file system.
Docova has always had the ability to access email. Now you can use the search feature to locate the emails, rather than having to browse the mail folders. The same search capability is available when you are linking documents together.
The key to a successful doc mgt implementation is finding what you are looking for. Docova now has Cloud Tag search capability. This visual search method is in many ways more intuitive than typing in a search query. Docova is different, in that the folder manager has the ability to define the order of search. You may want to search by location, by product type..etc. The next time you search, you may want to change the order, or search using other meta data. Docova allows you to define what meta data is included in the search, and the order, giving the user control over the cloud tag and the ability to find what they are looking for with less effort.
Performance has been improved. You can now target meta data to specific libraries, making folder views more efficient. There is a new rich text editor and much more.
Those are some of the more significant enhancements. What I like is the usability aspect. Small improvements have made Docova even more user friendly.

Going Global
August 12, 2009 by Gary WalshOur Docova partner community is growing. New DLI.tools partners have joined in the UK, Netherlands, Italy, Monaco and other locations around the world. I think the ability to develop relationships and friendships with individuals is the most exciting part of what we do.
My day will often start on a Skype call with someone in the UK or China, and finish with a web meeting with someone in Australia. I can be in the car (parked at the side of the road of course), in the office, or taking advantage of a hotspot at a coffee pub. The old paradigm of heading in to work has lost its meaning. The office is a place to put the servers.
Years ago I used to work for a traditional reseller, providing hardware and services to customers in a fixed sales region. I met up with someone I had worked with years ago, who was essentially doing the same thing. Comments were made about how tough business was these days. I guess it would be, if you did not have access to markets around the world.

DLI Uploader now available for Microsoft, J2EE and PHP

We now have a download package for Non-Domino developers available from http://www.dlitools.com, so they can embed this versatile programmable attachment manager control in their environments.
Imagine being able to log when users edit, view or download a file, to limit the number of files they can upload, or the total file size. This is a small subset of the almost 200 features available to developers who use the Uploader.

IBM Announces Multimedia Library for Notes

Well, Google figured about 1.6 billion, buying Youtube when it was a little over one year old. Want to learn how to use a band saw (http://ca.youtube.com/watch?v=YXW55S4X9zo), takeoff in an airplane (http://ca.youtube.com/watch?v=z985xdXW-3w) without starting the engine, play the guitar....it is all a mouse click away.
I have always been a big proponent of multimedia. I used Macromedia Authorware years ago when I worked for the Microage franchise. The concept was good, but the labor was much too intensive to make any kind of sense. At DLI, I grabbed onto Camasia when it was version 1.0, and began using it screen capture and flash rendering to quickly create video overviews to demonstrate our web development tools (http://www.dlitools.com/Docova/Overviews/Uploader/Uploader.html). Creating Consistent Documents - Leveraging Office Templates
January 12, 2009 by Gary WalshSomething that is common to companies both large and small is the use of templates to create accurate and consistent documentation. The ability to incorporate this into a team collaboration environment takes this to the next level, reducing costly errors and providing a repository to store and quickly locate the documents down the road.
I recently created a sample Docova document type for this purpose. The context was the creation of legal Non Disclosure Agreements, but it could be almost any document type from form letters to press releases.
Here is how it works.
1. A custom NDA Docova document type is created that includes a subform with a series of custom fields for the variable text on the form letter.
2. The NDA boilerplate form letter, a Word document, was edited to include Word bookmarks where the variable text is inserted.
3. The template was added to the Docova home database, and referenced on the custom NDA document type.
4. A button was placed on the subform that used thingFactory to get a handle on the Work template, and push the field values to the bookmarks.
5. Some folder views were created to organize the NDAs by customer, date...etc.

The initial offering of DocLogic is focused on organizations that use IBM Lotus Domino technology. DocLogic for WebSphere Portal and IBM Workplace will be released in the second quarter of this year offering integration and migration options within the IBM family of software.
