The Domino.doc to Docova migration path is definitely picking up momentum. There's  a significant increase in the initial customer discussions focused on the migration topic, often with customers approaching us first.

New customers to Docova are on the rise as well, as we've signed two more Domino.doc-to-Docova migration deals just in the last two weeks.

The two migrations will leverage the no-charge Docova Migrator Toolkit and the IBM Domino Document Manager Migrator tool. The migrations are scheduled for completion in July 2010 with the aid of the Docova Business Partner Community.

Since releasing our Network Scan Module for Docova, I have noticed that many of our clients are using it for applications other than scanning.  

Recently, one of our customers wanted a link on their intranet that would initiate a Help Desk request.  They use Docova for capturing and processing help desk tickets.  This is a simple Docova Custom Doctype that has fields that capture the details for the support call and an appropriate workflow.   Creating the ticket is simple,  as the document creation is just a  URL you can paste behind a button on the intranet page.  However if you link directly to Docova, the user needs the Docova Web Components installed on the local machine making the request.  Not everyone in the company has a Docova license.   Some of the requests come from users working from home on their personal computers.   We had discussed doing some customization to get around this, but it never made it to the quote/budget phase.  

This customer purchased the Docova Scan Module, for entering in scanned documents from a network scanner.   What they quickly realized is that they could use the same application for processing the Help Desk tickets via the intranet.    They called the other day, proud as punch, saying they automated the help desk ticket entry via the intranet themselves.

What they did  was simply capture the support request on the intranet and mailed it into the Docova Scan Module.  The scan module converts the email to a Docova Document type, in this case the Help Desk Ticket, and drops it into a designated folder.  The body of the email goes into the body of the ticket, the username is populated, and the workflow kicks off to alert the appropriate support staff.  

No need for any Docova client software.  No customization required.  15 minutes and done.

Something that is common to companies both large and small is the use of templates to create accurate and consistent documentation.  The ability to incorporate this into a team collaboration environment takes this to the next level, reducing costly errors and providing a repository to store and quickly locate the documents down the road.

I recently created a sample Docova document type for this purpose. The context was the creation of legal Non Disclosure Agreements, but it could be almost any document type from form letters to press releases.  

Here is how it works.

1.   A custom NDA Docova document type is created that includes a subform with a series of custom fields for the variable text on the form letter.
2.   The NDA boilerplate form letter, a Word document, was edited to include Word bookmarks where the variable text is inserted.
3.   The template was added to the Docova home database, and referenced on the custom NDA document type.
4.    A button was placed on the subform that used thingFactory to get a handle on the Work template, and push the field values to the bookmarks.
5.   Some folder views were created to organize the NDAs by customer, date...etc.

Visual Searching 

How many times have you initiated a search looking for something specific, get a long list of results returned, and spend a lot of time scrolling through them to find what you are really looking for?  In some cases even attachments get searched and the search criteria, although technically correct, is out of context.  In some cases way out of context.

An alternative is take advantage of visual search techniques. This web 2.0 technology is being used on many sites and you may be familiar with it.  Check out www.flickr.com as an example.  We have taken this and applied it to a corporate environment in a unique way.  Rather than have the results show everything in terms of meta data, we will be allowing users to define how the search is carried out,. Specifically what meta data is searched and the order it is searched. This is will be all integrated with our powerful "Perspectives" for shaping up data in a way that is meaningful to the end user.
